COVID-19 On-Site Support Statement

Temporary Policy Effective December 14, 2020:

This is an update to our COVID-19 notice posted April 2, 2020. Due to the recent surge in COVID-19 cases, inc-sys has temporarily modified our on-site support policies. On-site support will now be based on urgency. Furthermore, prior to making an on-site visit, our technicians will attempt to complete the service requirement remotely using remote support tools, or through providing guidance to your staff.

In the event on-site support is required:

We will first attempt to schedule the support visit after business hours to limit exposure to your team and ours. If that is not possible, or urgency requires, we will schedule during business hours according to the following conditions:

  1. Prior to an inc-sys support visit, all inc-sys technicians will receive a temperature screening. An inc-sys technician will not enter your facility if they present a fever or any symptoms of illness.
  2. Our technicians will be masked and maintain distancing of at least 6 feet.
  3. If a member of your on-site staff is awaiting COVID-19 test results due to exposure, presents a fever, symptoms of illness, or is under quarantine, please inform our staff ahead of time so that we can plan accordingly.
  4. Any inc-sys technician with known exposure to COVID-19 is not allowed to provide on-site support until completing a quarantine. Within our discretion, the quarantine is either (A) 14-day quarantine of asymptomatic isolation (B) 10-day quarantine of asymptomatic isolation with a negative COVID-19 test taken after the seventh day.
  5. Any inc-sys technician who contracts COVID-19 is not allowed to provide on-site support until the following conditions have been met:
    • At least 10 days have passed since symptoms first appeared and…
    • At least 24 hours have passed since last fever without the use of fever-reducing medications and…
    • Symptoms of cough, and shortness of breath have abated, and…
    • Received a negative COVID-19 test.
  6. The client’s on-site staff and contractors must be masked if they are in the same contained space as our technicians, regardless of distance.
    • An open-office floorplan is a contained space. The closed offices that surround the open office space are separate contained spaces.
    • Anyone who passes through the contained space in which our technicians are working, must be masked over mouth and nose.
    • Inc-sys technicians are not allowed to enter your facility if on-site staff or contractors are not properly wearing masks over their mouth and nose. After-hours support is available.

Canceled Holiday Party? Here are a Few Ideas to Consider.

If you’re like many businesses, holiday parties have been canceled. While this keeps your team safely indoors, it also keeps them apart. Our only connection to each other is over web meetings. So as a business owner, what can you do to reduce this misery? Here are a few ideas. Offers 100 Virtual Team Experiences

We’re giving a shout-out to a business that reinvented itself during this pandemic. Previously a hosted event company, their remake has solved a nearly impossible task. Yaymaker is making web meetings awesome with hosted and kitted wine tastings, cooking parties, drink mixology, painting parties, and much more. The Gift of Great Tech Support

This gift is near and dear to inc-sys because we love providing tech support to distributed teams. Give your team the gift of great technical support this holiday season. It’s the gift that gives all year long and includes fast laptops, the soothing tones of our support team, and like a cozy pair of new socks, stress-free support that keeps you going on even the coldest days.

Shop Local Online

Big box stores will be slammed with online orders. With communities locking down, more holiday shopping than ever will go online. Make a list of local shops and see what you can buy online. Even if you can’t buy online, store clerks will help you find that special item. They’ll send you pricing and texted images. Store managers would happily help you get a package of gifts together for your team.

Regional Food Favorites Online

Orders from local food favorites are a great alternative to national chains. Search for local breweries, distilleries, bakeries, cheese artisans, chocolatiers, and other specialty food shops. If you’re in Central Indiana and crave a cookie, visit The Cookie Cottage. Try an Ohio favorite, Glier’s Goetta (pronounced “get-ah”), from Cincinnati’s Favorites. Or choose from a whole host of Chicago artisans like one of our favorites, Two Brothers. Two Brother’s local brewery, distillery, and coffee roasters are an excellent source of gifts for your team. You can even order gift boxes with their swag.

Charitable Donations!

With so many struggling and out of work, charity is a great option. If your business is managing to stay even or thrive in this challenging time, we hope you shop locally, take great care of your team, and donate to local causes. Churches, food pantries, shelters, and so many others need your generosity.

Your friends at inc-sys hope you’re managing through this difficult time. If your team needs high-quality, competitively priced help desk support, contact us.

Arranging Your IT for Social Distancing

How are you preparing your office for the return of employees? Many businesses are reviewing their floor plans to improve social distancing. Whether that means changing furnishings, turning small meeting rooms into offices, or spreading out in your facility, moves will be needed. Supporting Remote Workers – A New Strain on IT Resources

Offices across the country are coming to grip with a new reality and quite likely a new normal. Businesses shifted overnight from having 5 to 20% of their workforce remote, to as much as 100% remote. What began as a few weeks at home, has possibly shifted the balance of remote employees for years to come. IT teams initially responded by adding VPNs, preparing laptops, and deploying equipment for at-home use.

The equipment is essential, but the new remote worker needs more. To be as effective at home as in the office, they need help desk support, training, and the ability to communicate with their teams efficiently. Working from home can be a considerable challenge for some remote workers and IT teams designed to support corporate offices have been overwhelmed with support calls.

Getting and Staying Connected

Instead of supporting one environment, IT teams are dealing with dozens or even hundreds of unique, at-home networks. Their employees are connecting at varying speeds, using many carriers, router types, and sometimes configured by the household “expert.” Although the IT team may not be able to resolve every connectivity issue, it will result in additional support calls.

Video Conference

Video conferencing is a great way to collaborate. With options for recording, screen sharing, and demonstrating tasks, they can be a big boost to productivity. However, proficiency takes practice. Offering training for your employees can help them feel comfortable with the tools and make them even more productive.

Use Your Own Device (UYOD) Support

Whether this is company policy or a quick fix, this demands a reliable help desk. UYOD is the wild west of tech support. The help desk must understand your company’s applications and how they perform on Mac and PC. They will be troubleshooting a wide range of issues stemming from old equipment, old OS, new OS, infected PCs, and sluggish performance, to name a few.

Use Your Own Device (UYOD) Security

Maintaining software and security is much simpler with standardized equipment. Standardized PC “images” allow for remote updates. You can also manage settings that require automated updates for the latest application and OS security. Furthermore, company PCs are usually locked down tight to prevent rogue software and other “pathogens” that deliver malware and spyware. If you are allowing UYOD, additional support will be needed to maintain security.

Designing a New Strategy for Support

The initial response for most businesses when sending workers home for the COVID-19 crisis was to make sure their employees had the equipment and could connect. However, your business will need new strategies for supporting long-term remote workers. With the vaccine predicted to be many months away, treatments still uncertain, and social distancing our best defense, the new normal will be maximizing productivity at a distance.

Inc-sys supports remote employees with personable and knowledgeable assistance for network, OS, and application issues. Connect with us today to try our service and design a program to give your remote teams an edge.
